Terms and Conditions & Guest Waiver of Liability

Thank you for choosing Bordeaux Wine Vacations (Bordeaux Exclusive LLC). This document outlines the services we provide, our refund and cancellation policies, and our liability limits. By booking a tour with us and submitting payment, you agree to the terms described below. You also confirm that you are at least 18 years old and legally authorized to enter into a binding agreement on behalf of yourself and any guests you represent.

We aim to provide exceptional service through our trusted partners, but please be aware that Bordeaux Exclusive LLC acts as an independent organizer. We do not own or operate the hotels, châteaux, transportation services, or restaurants included in your itinerary. While we carefully select and coordinate with each provider, we cannot be held liable for the performance of third-party services.

Deposits & Final Payment
A non-refundable deposit of $995 per guest is required to confirm your booking. The remaining balance is due 90 days before your tour start date.

Cancellation Policy
If you need to cancel, please notify us in writing. Refunds are issued as follows:

  • 61–90 days before tour start: 90% refund of total tour cost, excluding the deposit
  • 31–60 days before tour start: 60% refund of total tour cost, excluding the deposit
  • 0–30 days before tour start: 40% refund of total tour cost, excluding the deposit
  • No-shows: No refund

Refunds will be processed within 10 business days. Please note that some prepaid experiences (e.g., château visits or accommodations) may be non-refundable regardless of the cancellation date. If this applies, we’ll let you know in advance.

We strongly recommend purchasing travel insurance (including trip delay, interruption, cancellation, baggage loss, medical coverage, and emergency evacuation) soon after paying your deposit. This protects your investment and gives you added peace of mind.

Our Right to Cancel
We reserve the right to cancel any tour. If that happens, we will refund all monies received, including your deposit. If cancellation occurs within 30 days of the scheduled start date, you’ll also receive a complimentary bottle of Bordeaux wine and a discount toward rescheduling.

All cancellations must be submitted in writing.

Itinerary Changes
While we make every effort to maintain the confirmed itinerary, things occasionally change, especially in France. A château may be closed for renovations, a restaurant might cancel last-minute, or harvest season could stretch the staff at an estate. In those rare cases, we’ll make thoughtful adjustments to preserve the overall experience and keep disruptions to a minimum.

Pre-Tour Arrivals & Post-Tour Extensions
We’re happy to suggest pre- or post-tour destinations, especially those with good flight connections to Bordeaux. While we don’t book travel outside of the Bordeaux region, we’re happy to help with French-language communication and offer trusted recommendations.

Waiver of Liability
Travel involves some degree of risk. Bordeaux Exclusive LLC cannot be held liable for injury, loss, inconvenience, or costs due to events beyond our control, including but not limited to: theft, natural disasters, weather disruptions, transportation issues, illness, government restrictions, strikes, or acts of terrorism.

By booking a tour, you agree that Bordeaux Exclusive LLC will not be liable for any direct or indirect loss, injury, death, or damage incurred during your trip. Our maximum liability, in any circumstance, will be limited to the total amount paid for your tour.

We reserve the right to:

  • Make changes to your itinerary or accommodations as needed
  • Cancel a tour (with full refund)
  • Decline participation for any guest whose health, physical condition, or behavior may affect the safety or enjoyment of others

We also strongly recommend having appropriate medical coverage and evacuation insurance. If you have special health needs or mobility concerns, please let us know in advance, we’re happy to work with you.

Travel Documents & Requirements
A valid passport is required for international travel to France, with at least six months’ validity past your return date. It is your responsibility to ensure that your travel documents (including visas, if applicable) are current and meet all entry requirements.

We are not responsible for delays, denied entry, or missed flights due to invalid or incomplete documentation.

Complaints
If an issue arises during your trip, please contact us or the relevant service provider immediately. We’ll do our best to resolve it promptly. For formal complaints, please send a written notice within 15 days of the tour’s conclusion.

Force Majeure
We are not liable for delays, cancellations, or changes caused by circumstances beyond our control (e.g., severe weather, government regulations, civil unrest, pandemics, etc.). In such cases, we’ll work with you to explore alternatives, but refunds are not guaranteed.

Updates & Legal Jurisdiction
These Terms may be updated at any time. The version in effect at the time of booking will apply. This agreement is governed by the laws of the State of Tennessee, USA. Any disputes shall be resolved in the courts located in Knox County, Tennessee.
